1. Data controller

ProDNA ApS is the data controller for the personal data we process about you when you use prodna.dk or contact us.

2. What we process, and why

Contact form. When you write to us through the contact form, we process your name, email address, company (if provided) and the content of your message. The purpose is to respond to your enquiry. The legal basis is our legitimate interest in answering enquiries (GDPR art. 6(1)(f)) or, where the enquiry leads to an agreement, the performance of that agreement (art. 6(1)(b)).

Booking a meeting. If you book a meeting through the booking dialog, you enter your details directly with Calendly, which acts as our processor. We receive your name, email and the chosen time. The purpose is to hold the meeting. The legal basis is art. 6(1)(b).

Applying to ProDNA Resources. If you apply to join our consultant network, we process your name, email, phone number, primary discipline and CV. The purpose is to assess your profile and, if accepted, to match you with assignments. An anonymised version of your profile, without your name or contact details, may be used in our help assistant on prodna.dk. The legal basis is your consent (art. 6(1)(a)), which you may withdraw at any time.

Downloading material. If you download material in exchange for your name and email, we use those details to send you the material and, if you have agreed, to contact you with relevant content. The legal basis is your consent (art. 6(1)(a)).

Technical operation. Our web server records IP address, timestamp and the page requested in a technical log used for troubleshooting and security. The legal basis is our legitimate interest in operating the site securely (art. 6(1)(f)). We do not use analytics or tracking tools.

3. Who we share data with

We do not disclose your data to third parties for their own purposes. We use the following processors, who process data on our behalf and on our instructions:

  • Resend (USA): sending email from the contact form.
  • Calendly (USA): meeting booking.
  • Tally (Belgium, EU): application form for ProDNA Resources.
  • Google Workspace (Google Ireland Ltd., EU): email, documents and storage of applications and download requests.

Transfers to the USA are based on the EU-U.S. Data Privacy Framework or the European Commission's standard contractual clauses.

4. How long we keep data

  • Contact form enquiries: deleted no later than 12 months after the enquiry is closed, unless it leads to a client relationship.
  • Bookings: stored with Calendly under their retention rules and deleted on our side once the meeting and any follow-up are complete.
  • ProDNA Resources applications: kept for as long as you are part of the network. Declined applications are deleted no later than 6 months after the decision.
  • Download requests: kept until you withdraw consent, and no longer than 24 months after our last contact.
  • Technical server logs: deleted automatically after 30 days.

5. Your rights

You have the right to access the data we hold about you, to have it corrected or erased, to restrict processing, to object to processing, and to data portability. Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal. Write to info@prodna.dk.

6. Complaints

7. Changes

We update this policy when our processing changes. The current version is always available on this page.
